Job Description

The Customer Service Representative position provides customer service support, acting as a two-way liaison between the customer and Boutwell Owens' operational staff. The CSR will document customer specifications and create estimates (quotations), write job orders and communicate those specifications to the design, manufacturing and accounting processes.

JOB DUTIES:

Interacts with customers on an on-going basis.

Interacts with Sales Representatives, brokers and service bureaus on an on-going basis.

Creates and distributes estimates (quotes).

Creates job orders from customer purchase orders and documented specifications for items, structures, dies, etc.

Receive, refine and document customer specifications.

Update the customer as applicable, regarding production schedules, delays, plan changes, etc.

Creates job layouts from experience and with input from manufacturing supervisors.

Interacts with manufacturing departments to refine quotation aspects.

Distribute proofs, prototypes and standards to customers and coordinates review and approval process and redistribution to the design and manufacturing processes.

Performs contract review.

Manages projects from conception through shipping.

Initiates new product review meeting.

Initiates CAD Work Order Requests for structural design and design change activities.

Initiates Prep Memo Requests for artwork design and design change activities.

Prepares disk for electronic pre-press activities.

Initiates color standard creation.

Receives and documents customer complaint reports.

Provides feedback on complaint reports to the customer.

Initiates credit approval investigations working in conjunction with the accounting department members.

Maintains project record files.

Distinguishes pharmaceutical type work for added activities.

Controls and manages customer inventories.

Calculates and communicates freight charges.

Provides price information from contract pricing sheets and stock software pricing sheets.

Negotiates competitive pricing for outsourcing manufacturing processes.

Performs final review on completed job orders.

Generates and distributes confirmation letters.

Qualifications, Experience, Requirements

Minimum of Associates Degree in a Business Concentration or minimum one-year of experience in a Customer Service related position is required.

Pleasant in-person and phone personality is required.

Graphic Arts Background is desirable.

Familiarity with offset printing processes and materials is a plus.

Strong computer background, (experienced with Microsoft Word, Excel, & Outlook) is required.

Strong mathematical skills are required, (addition, subtraction, multiplication, division, fractions, decimals, percentages, etc.)

Background with a CAD Software platform, such as Artios CAD is a plus.

Must be capable of communicating and interacting effectively with a multitude of personality types.

Must be able to handle changing priorities, frequent interruptions and plan re-formulations. The ability to handle multiple tasks, work rapidly, plan, vary work pace, remain attentive to details, concentrate amid distractions and work cooperatively and respectfully with others is also required.

Occasional travel is required.

Language Skills

Must be able to speak, read and write English.

The ability to proficiently speak a second language, (especially Spanish), is a plus.
